01, Organisation

Company, institution, branch, and the unit where they meet

Company and institution do two different jobs. Rainbow is the company: it employs your staff, pays salaries, raises purchase orders and holds vendor and supplier relationships. RPS and RIS are the institutions: they hold the academic identity, the grades, the registers and the receipt terms. Neither the institution nor the branch owns the other, because a branch may run either institution or both.

The operating unitEvery institution and branch combination in use is its own unit. This is what owns the students, the staff postings, the number series, the receipt terms and the day to day reporting for that school at that location
Why we are being precise about this. Building RPS and RIS as parents of their branches is the obvious mistake, and it breaks the moment one branch runs both. Keeping the company separate from the institution matters for the same reason in the other direction: salaries, vendors and purchase orders belong to Rainbow, while registers, receipts and academic records belong to RPS or RIS.

Which institution runs at which branch

A grid, not a tree. Each tick is one operating unit with its own registers and numbers. Illustrative below, we will fill it with your actual list.

Because the grid has two axes, every number can be reported three ways. This is what you would lose if RPS and RIS were built as parents of their branches.

By institution

All of RPS across every branch, or all of RIS. Enquiries, walk ins, admissions, cancellations and cost per admission for one school as a whole, which is the view your institution heads will want.

Everything happening at Hariniwas, whichever school it belongs to. This is the Branch Manager view, and it is also how access is decided.

One cell

By unit

RPS at Hariniwas on its own. Its registers, its receipt series, its counsellors and its conversion rate, separate from RIS at the same address.

Numbers follow the unit

Your GR numbers already show this. 2025-26/RPSHN/10 carries both the institution and the branch. RIS currently shows only RIS because it runs at one branch today, which is worth deciding on before a second one opens.

Receipt terms follow the institution

Your two receipts differ in real ways. Cheque bounce is 350 on RPS and 500 on RIS, the late penalty appears on RIS only, and the contact address differs. Each institution keeps its own terms and its own formats.

03, Academic structure

Academic year, grade, section, student

Clearing up two words that are easy to mix. A grade is the year of schooling, such as Nursery or Class I. A section is a division of one grade at one branch, such as Nursery A. Your own receipts print the pair together as Nursery >> A and Class I >> B.

One record per student, per yearThe GR number never changes. The enrollment code stays fixed too, except on a branch transfer, where it changes while the GR number stays the same. The year, grade, section and roll number are recorded fresh each year, which is what lets you answer how many children were in Class I in 2027, years after the fact
Grade decides the institution. Because Play Group to Senior KG belong to RPS and Class I to X belong to RIS, choosing the grade on an enquiry sets the institution automatically. Nobody selects it separately, so a Class I child can never be recorded against the preschool register.
04, Who sees what

Access is decided at the branch, and narrowed for teachers

Your principals, vice principals and sales staff at a branch work across both institutions there, so the branch is the boundary. Reaching another branch needs an explicit grant. Teachers are narrowed further, to the sections assigned to them.

RPS runs Directors, then Sales Head and Chief Admin, then Relationship Associates. RIS runs Director, then two Vice Principals split by grade range, with Academic Coordinator alongside.

Escalation is already different for the two institutions. Per your own process, RPS escalations reach the Branch Manager and RIS escalations reach the Sales Lead. Concessions and high priority cases route the same way. Roles and permissions are edited by your administrator in the software, without a release from us.
05, The parent journey

One record from first enquiry to first day

Every stage below is one continuous record, so the source that produced the enquiry is still attached when the admission completes. Ownership passes between your teams, the record does not restart.

Nothing is recorded twice. A walk in does not create a second record for a parent who enquired online last week, and the same family returning next year is recognised rather than flagged as a duplicate. Matching works on the child name with date of birth, and on the parent mobile and email.
An unscheduled walk in is not turned away. A parent arriving without a prior appointment is counselled immediately if a Relationship Associate is free. If none is free, the visit is booked into the next available slot rather than left unattended.
06, Two chains

Marketing and admission are separate chains that meet at one point

They are measured differently and owned by different teams. Marketing works in campaigns and money, with no individual person to speak of. Admission works one family at a time. The join is the moment a lead is created, and everything you want to know about return on spend depends on that join holding.

The join. A lead created from an advertisement carries the campaign it came from, so spend on the left can be divided by admissions on the right. That gives you cost per lead, per walk in and per admission, by campaign and by branch. It only works if your enquiry form passes the campaign tracking values through when a parent submits it, and it cannot be added to leads collected earlier.
What we need from your web team. The enquiry form on your website must pass the campaign tracking values along at submission. Without it, we can report that a month of Google spend produced a number of enquiries, but never which advertisement produced a particular admission. For offline, giving each billboard, bus route and event its own QR code or number is what makes cost per admission meaningful there too.
07, Lead lifecycle

One status list, with the exits written down

Your process describes statuses before the walk in and after it. We hold these as a single list with defined moves between them, so a lead is never counted twice and every closure carries a reason.

Closing needs a reason

Fees, distance, transport, timings, curriculum, infrastructure, chose another school, invalid number, duplicate. Your process also sets a floor of three calls, two WhatsApp messages and one email before a lead may be closed as not interested.

Reopening keeps the history

A closed lead reopens with a reason and stays the same lead, so the original source, every call and every note remain attached to it.

Future prospect waits for its year

Parked against a chosen academic year. When that year opens the lead returns for review, rather than appearing silently in a follow up list with a two year old phone number.

Moving a family between institutions is an approval, not an edit. If a parent who enquired for Nursery at RPS decides on Class I at RIS, the Relationship Associate raises it and the Sales Head at head office approves. The lead keeps its original source, and the record of who did the work stays intact.
08, Your numbers

We read your existing receipts and rebuilt every format

Taken from the RPS and RIS fee receipts you shared. Each becomes a format your administrator can edit in the software rather than a rule buried in code, so a change of format does not wait for a release.

Two identities, both permanent

The Enrollment Code carries the admission year. The GR Number carries the academic year and resets each year. Different numbers doing different jobs, and both stay with the student.

Numbers are never reused

A cancelled admission retires its number permanently with a recorded reason. Two staff issuing at the same moment cannot be given the same number.

Receipt year and fee year differ

Receipt 25HNHN0950 is dated March 2026 and collects for the year 2026 to 2027. Any report on collections will state which of the two years it means.

Both open questions here are now answered. On a branch transfer, the enrollment code changes and the GR number stays the same, via a cancellation at the old branch and a fresh admission at the new one. The receipt number will carry a single branch code, correcting the HNHN / RISRIS duplication.
One thing still open. Whether an RPS-internal branch transfer follows the same rule, or leaves both numbers unchanged, has come back from two sessions with two different answers. We need this confirmed directly before either version is built.
09, Partners and referrals

Partners work through their own link, with no login to manage

Friendship schools, daycares, referrers, brands and corporates each get a private web address and a QR code. No account to create, no password to reset, no training required.

They send you leads

One at a time through their page, or in bulk by uploading a spreadsheet. Every lead arrives already tagged to that partner and to the branch.

They can see progress

A simple list showing how many leads they sent and roughly where each one stands.

You track what is owed

Each agreement records a fixed amount or a percentage. The system calculates what has been earned. Nothing about money appears on the partner page.

A question about what partners should see. Their link opens without a password, which you have accepted. Because of that we suggest the list shows a child's first name and a broad status only, with no phone numbers, no fee or concession detail and no counselling notes. A daycare is a commercial party, and their page should not become a record of what your school offered a particular family. We would also refresh partner links each academic year.
Confirmed: link refresh is a notification, not a login. Each time a partner link refreshes, the partner is notified by WhatsApp and email. The link itself stays open with no OTP step, consistent with no login being required today.
10, Front desk

The visitor register handles everyone, and one type becomes a lead

Your front desk sees parents, vendors, candidates and guests. Each is asked for different information, so the visit type decides which form appears.

Your own forms, your own types

You can add a visit type and decide what it asks for, without a release from us. The same form builder later adds your own fields to leads, parents and students.

Repeat visits are counted

A parent visiting a third time is flagged, because a family that keeps returning is either close to deciding or stuck on something worth knowing about.

Sequencing. The full visitor module is planned after the CRM and admission work. We are designing the handover from the front desk to the CRM now, so nothing has to be rebuilt when it arrives.
11, Completing an admission

Four conditions, and the system will not accept three

Taken from your own operating standard. An admission cannot be marked complete until every one of these has actually happened, which is what makes your admission count trustworthy at any point in the year.

Gate 01

Documents verified

Checklist complete and approved. An incomplete set blocks submission. Required documents can differ by grade and by country.

Gate 02

First payment received

Cash, cheque, card or online, recorded with a receipt from the correct institution series.

Gate 03

Future payment secured

NACH or post dated cheques are mandatory. This gate blocks completion until one is captured, with no exception path.

Gate 04

Finance confirmed

Payment reconciled and confirmed by the authorised user before the admission closes.

Only then does the student exist

The enrollment code and GR number are issued at this moment and not before. A family that never completes leaves no half created student record behind, so your registers stay clean.

Concessions follow your authority levels

A discount beyond an agreed limit routes to the right approver automatically, with the request, the reason and the decision all recorded against the lead.

12, Scope

Being explicit now so there is no gap between what you expect and what we build. Everything on the right is a real want we have heard, and each is separate work rather than something quietly included.

13, Over to you

Six decisions from this session — five now answered

Each of these changes something structural. Five of the six have come back with an answer since this deck was first written; each is stated below as confirmed, with any loose end called out rather than smoothed over. Only campaign tracking is still genuinely open.

The enrollment code and branch transfers — confirmed

On a branch transfer, the enrollment code changes and the GR number stays the same, via a cancellation at the old branch and a fresh admission at the new one. Open exception: whether an RPS-internal branch transfer follows this same rule, or leaves both numbers unchanged, has come back two different ways across two sessions — needs one more confirmation before either is built.

Parent login — confirmed, one detail still open

Login is by enrollment number and password, not mobile OTP — no mobile-number login for now. Sibling addition uses the existing manual process. Still open: the forgot-password mechanism, pending your own internal discussion.

Whether an admission can happen with no lead — confirmed

No. Direct admission will not be performed — a lead is created for every admission, so source attribution holds without exception.

Preschool moving up into the international school — confirmed

Not a same-number transfer as first assumed. The RPS admission is cancelled and a fresh admission is created in RIS, carrying the same GR number but a new enrollment number — the same mechanism as any cross-institution move. Still open: whether this counts in source reporting, and what happens if a family doesn't progress.

Campaign tracking on your website

Needs a commitment from whoever runs your website, and cannot be added afterwards. Without it, advertising spend can never be tied to a specific admission.

WhatsApp identity

Not one account for the group after all. Rainbow will run a separate WhatsApp Business account per institution, so a message to an RPS parent shows RPS as sender, and RIS shows RIS.
